Privacy & AI Statement job applicants

1. Introduction

In this Privacy & AI Statement for job applicants we explain in a transparent manner which personal data we process about you, why we process this data, how we handle your personal data with care and how we protect it during the recruitment and selection process.

2. Who are we?
VodafoneZiggo consists of several group companies, including VodafoneZiggo Employment B.V., Vodafone Libertel B.V., Ziggo B.V., Ziggo Services B.V., Ziggo Services Employment B.V., and Liberty Global Content Netherlands B.V.

The VodafoneZiggo group company to which you apply is responsible for the processing of your personal data. The job vacancy indicates which legal entity the position belongs to. If this is not clear, you can contact the VodafoneZiggo HR Recruitment department to determine which group company you would be employed by if you are hired.

3. What personal data do we process about you?

We collect personal data from the moment you apply for a position at VodafoneZiggo. We may process, among other things, the following data:

a)      Contact details, such as your name, email address, home address, and telephone number;

b)      Application data, such as the application form (digital or written), curriculum vitae (CV), cover letter, interview notes, references from previous employers and results of assessments or psychological tests;

c)      Data relating to internal applicants: for internal candidates we may process additional information, such as references within VodafoneZiggo, interview notes, information about internal transfers or promotions and succession planning documentation;

d)      Cookie data, such as information from performance and functional cookies collected through our website.

In some cases we may process special categories of personal data, but only when this is necessary to assess your suitability for a position. This may include, for example:

e)       Screening and background checks, such as information about your right to work in the country where you are applying or any relevant criminal records. For certain positions a background check may be mandatory. We may also ask you to provide a Certificate of Conduct (VOG);

f)        Diversity data, such as age, gender or nationality. This data will only be processed when you provide it voluntarily and give your consent. You may withdraw this consent at any time;

g)       Financial data: for certain financially sensitive roles it may be necessary to review financial information to determine whether there are potential risks.

4. What do we use your personal data for?

We may use the personal data we collect about you for the following purposes:

1)      Recruitment and selection: we process your data to assess your application, contact you during the recruitment process, invite you for interviews or make a decision about your suitability for the position. If you do not provide certain necessary information we may not be able to process your application. We may also consult publicly available information that you have made available online, for example through LinkedIn. If we believe your profile matches a vacancy we may contact you. If you apply for multiple positions, your data may be shared with the relevant VodafoneZiggo group companies;

2)      Talent pool: when you express interest in working at VodafoneZiggo your data may be included in our talent pool. If you are not selected for a position we may — with your consent — retain your data so that we can contact you regarding future vacancies;

3)      Creation of a personnel file: if you are hired the data from the recruitment process will be included in your personnel file and used for the administration and management of your employment;

4)      Analysis and improvement of recruitment: we may analyze data to improve our recruitment processes, enhance the candidate experience or gain insight into diversity objectives. These analyses are carried out in a way that individuals cannot be identified;

5)      Screening, which may form part of the recruitment process depending on the position.

5. Legal basis for the processing of personal data
We only process your personal data when there is a legal basis to do so. In most cases the processing is based on your consent. When you apply for a position you provide personal data and give consent for it to be used to assess your application.

In some cases the processing is also based on our legitimate interests, for example to improve recruitment processes, analyze application data or monitor diversity objectives.

6. With whom do we share your personal data?
VodafoneZiggo only shares your personal data when this is necessary. We may share your data with other VodafoneZiggo group companies to the extent required for the recruitment process.

We may also share your data with external service providers who support us in the recruitment process, such as suppliers of recruitment software or assessment providers. We ensure that these parties apply the same privacy and security standards.

In some cases we may share your personal data with government authorities when we are legally required to do so, for example with regulators, courts or law enforcement authorities.

7. Processing outside the European Economic Area
In some cases personal data may be processed by parties located outside the European Economic Area (EEA). When this occurs we ensure that your data is adequately protected in accordance with applicable laws and regulations.

8. How long do we retain your personal data?
We retain your personal data for a maximum of four weeks after the end of the recruitment process. After this period the data will be automatically anonymized.

If you give consent for your data to be retained for future vacancies we will store your data for a maximum of one year after the end of the recruitment process. You may withdraw this consent at any time.

9. Your rights
Because we process your personal data you have certain rights under the General Data Protection Regulation (GDPR). These include, among others, the right to access, object to processing, restrict processing, rectify, erase (the right to be forgotten) and data portability.

10. Use of Artificial Intelligence (AI) in Recruitment
Within our recruitment process we may use AI or other automated tools to support our hiring and selection activities. This is done carefully and in accordance with the General Data Protection Regulation (GDPR).

What do we use AI for?
AI may be used to optimize, facilitate and accelerate the recruitment process, for example by assisting applicants through chatbots.

No fully automated decision-making
Decisions regarding your application are never made by AI. There is always human assessment by recruiters or hiring managers. AI is used as a supporting tool.

Which data may be processed?
When using AI and chatbots the following data may be processed: name and contact details, CV, work experience and education, motivation and other information you provide or voluntarily share during interaction with a chatbot.

Legal basis
The processing of personal data using AI is based on our legitimate interests, namely the efficient, careful, and objective execution and improvement of the recruitment process. We take appropriate measures to prevent discrimination and bias, ensure the reliability of AI outcomes and adequately secure personal data.

11. Changes to this Privacy Statement
VodafoneZiggo may update this Privacy Statement from time to time. The most current version is always available on our website.
